Your information

A little clarity.

The gallery asks only for the details needed to respond to your enquiry.

Who operates the gallery

Bearsted Gallery is operated by William Mayger, who is responsible for your personal information (the data controller). For enquiries, questions about your information or a privacy request, email bearsted-gallery@mwxyz.xyz.

Your print choices

Your selected photograph, shape, size and frame finish can be saved in your browser for 30 days. They are stored on your device so you can return to your selection. “Start again” clears the current choices. No name, email address or message is stored with them.

Your enquiry

When you send an enquiry, your name, email, optional town or postcode and message, chosen print and enquiry reference are sent to Netlify Forms. The gallery receives email notifications and uses these details to reply about your selection, availability and a quote.

Providing details is voluntary, but we need your name and email to answer a form enquiry. No payment details are collected and you are not added to a mailing list. For a requested quote, we use your details to take steps at your request before a possible contract. For other correspondence, our legitimate interest is answering your question and keeping a record of the response.

How long we keep enquiries

Enquiries that do not become orders are deleted 12 months after we receive them. This covers the Netlify submission and related email copies. Deletion is managed manually; the website does not run an automatic deletion service. If a specific legal obligation requires us to keep a record longer, we retain only what is needed for that obligation. You can contact us to request earlier deletion.

Optional analytics

We use analytics with your consent to understand visits, improve the print journey and assess interest in the gallery. If you opt in, Amplitude receives the pages you visit, navigation clicks, print selections, journey steps and enquiry completion or error events. Name, email, message, enquiry reference, query strings and form contents are excluded. Automatic event capture and session replay are disabled.

The 180-day device identifier lifetime is not a deletion deadline for events already sent to Amplitude. We retain those events while needed to compare traffic and enquiry funnels over time, and review that need when we change or stop this analytics use. Events we no longer need are deleted or anonymised. They are not linked to the contact details in your enquiry.

A random anonymous identifier is saved on your device for up to 180 days after you opt in, so visits and funnel steps can be connected across page reloads. Sessions renew after 30 minutes of inactivity. Withdrawing consent removes this identifier. Unsent events stay in memory. Amplitude receives requests in its US data region. The network service necessarily receives connection information when a request is made; location enrichment and IP event tracking are disabled in the SDK configuration.

Changing your mind

Use “Cookie settings” in the footer to accept or decline optional analytics. The choice lasts up to 180 days on this device. Withdrawing permission stops subsequent event tracking; it does not delete information already processed. Your print choices still work if you decline.

Services that handle information

Netlify hosts the website and handles form submissions and spam checks. Our email providers handle notifications and replies, and authorised people helping the gallery respond can access enquiries. Amplitude receives analytics only when you allow it. Hosting services process connection information and technical logs to deliver and protect the site. Our legitimate interest in that processing is running a reliable, secure website; technical records are kept as needed for that purpose and incident investigation.

These services can process information outside the UK, including in the United States; this gallery uses Amplitude’s US data region. Netlify and Amplitude publish transfer safeguards in their data processing terms, including the UK Extension to the EU–US Data Privacy Framework where applicable and contractual safeguards for other covered transfers. You can read or obtain copies through Netlify’s data processing agreement and Amplitude’s data processing terms, or contact us about the arrangements for your information.

Your rights and questions

Depending on the circumstances, you can request access, correction, deletion, restriction or a portable copy of your personal information. Contact bearsted-gallery@mwxyz.xyz to make a request. We may need to check your identity before disclosing information.

You can object to processing based on our legitimate interests. You can also withdraw analytics consent at any time using “Cookie settings”.

If you are concerned about how we handle your information, please contact us. You also have the right to complain to the Information Commissioner’s Office (ICO).
